Terms and Conditions

1. Scope

These General Terms and Conditions apply to all contracts for psychological counseling, coaching, and reflection services between Resonanzraum – Psychological Counseling and the respective client.

Any deviating agreements are only valid if they have been expressly agreed upon in writing.

2. Nature and Scope of the Counseling Services

Resonanzraum offers psychological counseling for personal, professional, and interpersonal issues. Depending on the client’s concerns, elements from the following approaches may be incorporated:

• systemic counseling,
• person-centered counseling according to Carl Rogers,
• reflective and therapeutic writing,
• resource- and solution-oriented methods.

The focus and goal of the counseling will be jointly determined during the initial consultation or over the course of the counseling relationship.

3. Formation of the Counseling Agreement

A counseling agreement is formed as soon as an appointment has been bindingly agreed upon and confirmed by Resonanzraum.

Appointments may be scheduled, in particular, via email, by phone, through a contact form, or via a booking system, if used.

The client is obligated to provide complete and accurate information when scheduling the appointment.

4. Appointments and Duration

Appointments are scheduled on an individual basis. The duration depends on the specific service booked.

Unless otherwise agreed, the session begins and ends at the confirmed time. In the event of a late arrival the missed time generally cannot be made up, if subsequent appointments are scheduled.

5. Fees and Terms of Payment

The fees published at the time of booking or individually agreed upon apply.

The fee is due after the session or upon receipt of the respective invoice. Payment is made as agreed, for example by bank transfer or via another offered payment method.

For counseling packages, separate payment terms may be agreed upon.

6. Cancellations and No-Show Fees

Scheduled appointments are binding. You may cancel or reschedule free of charge up to 24 hours before the scheduled appointment.

In the event of a later cancellation or a no-show, the agreed-upon fee may be charged in full or in part as a cancellation fee provided the appointment cannot be rescheduled to another client.

In the event of an unavoidable absence or in justified exceptional cases an individual arrangement may be made.

If Resonanzraum must cancel an appointment, an alternative appointment will be offered as soon as possible . No further claims may be made under any circumstances.

7. Online Counseling

Online counseling sessions take place via a previously agreed-upon communication service. The client is responsible for ensuring they have suitable technical equipment, a stable internet connection, and a private, undisturbed space.

In the event of technical difficulties, both parties will endeavor to resume the session as soon as possible. If this is not possible, a joint decision will be made as to whether the session will continue by phone or be rescheduled.

Recording the session is not permitted without the prior express consent of both parties.

8. Personal Responsibility and Active Participation

Psychological counseling is a collaborative, open-ended process. The client decides independently which topics to raise and which suggestions to act upon.

A specific personal, health-related, professional, or financial outcome cannot be guaranteed.

The client agrees to truthfully disclose relevant information—particularly regarding existing mental or physical health issues—to the extent that such information is relevant to the counseling.

9. Distinction from Psychotherapy and Medical Treatment

Resonanzraum offers psychological counseling and not medical psychotherapy. No mental disorders are diagnosed or treated.

The counseling does not replace a medical, psychiatric, or psychotherapeutic examination, diagnosis, or treatment.

If there is suspicion of a mental illness requiring treatment, or if such a need becomes apparent over the course of counseling, a recommendation may be made to seek medical or psychotherapeutic help.

10. Acute Crises and Emergencies

Resonanzraum is not a crisis intervention center and does not offer an emergency service.

In cases of acute danger to oneself or others, suicidal thoughts, or a severe mental health crisis, professional emergency assistance must be sought immediately.

11. Liability

Resonanzraum is liable, within the scope of statutory provisions, for damages caused intentionally or through gross negligence.

The client remains solely responsible for any decisions or actions taken as a result of the counseling.

Liability for the achievement of specific counseling goals or for indirect consequences of individual decisions is, to the extent permitted by law, excluded.

12. Confidentiality

The content of the counseling sessions is treated confidentially. Information is generally not disclosed to third parties without the consent of the client.

Exceptions may apply if there is a legal obligation to disclose information or if there is an immediate danger to the life or physical well-being of the client or another person.

The disclosure of information to physicians, therapists, or other professionals generally requires prior consent.

13. Data Protection

Personal data is processed exclusively in accordance with applicable data protection regulations.

14. Materials and Copyright

Texts, worksheets, writing prompts, exercises, and other materials provided by Resonanzraum are, unless otherwise stated, protected by copyright.

They may be used exclusively for personal use within the scope of counseling. Reproduction, publication, or disclosure to third parties is not permitted without prior consent.

15. Final Provisions

The laws of the Federal Republic of Germany apply.

Should individual provisions of these General Terms and Conditions be or become invalid, the validity of the remaining provisions shall remain unaffected.

Changes or additions to individual agreements shall be recorded in writing.
